User roles in WINPACCS
WINPACCS offers extensive and flexible access and rights management. Users can be assigned one or more predefined user roles.
User roles combine different permissions (rights). These rights serve as the basis for the authorised use of certain functional areas, function groups and functions.
In the user roles we distinguish between standard roles and individual roles. The standard roles are designed for groups of people that occur frequently and cover all the rights those groups need. The individual roles can be set up independently by every organisation based on the standard roles. An individual role must be derived from a standard role. Each individual right of the standard role can then be selected or removed in the individual role.
In addition, each user can be directly assigned one or more projects. If a project has been assigned to a user, the user has the corresponding rights of his or her user role in that project.
The authorisations for the WINPACCS suite modules are also awarded via user roles in WINPACCS online.
This document is intended to give an overview of the roles available in WINPACCS. A brief description sets out what rights those roles include.
The role of organisation administrator includes the permissions to configure the organisation settings to adapt the WINPACCS system to the organisation’s requirements. Apart from that it includes the right to assign other users the roles of organisation, accounting and user administrator. Registration requests and product activation requests that are not assigned to a user or installation administrator can only be edited by the organisation administrator. In addition, the organisation administrator has read rights in all areas of the application.
The role of financial administrator comprises all rights to make changes in account administration, bank details, management of fund supplies and company accounting.
A user administrator has all relevant permissions to make changes in the user administration. In particular, this includes the possibility to work on user registrations, to set authorisations of the users and to reset passwords. Via assigned organisation units, the responsibility of user administrators can be limited to defined regions.
The installation administrator has all relevant rights to make changes in the installation administration. This includes the option to edit and release product activation requests or to edit and delete existing installations. Via assigned organisation units, the responsibility of installation administrators can be limited to installations in countries of assigned organisation units.
The role of person administrator includes all rights to make changes in person administration. This includes the possibility to enter new persons, edit and delete existing persons. Apart from that, there is the right to assign organisations and projects to the persons.
Has all rights for the functional area "Partner Administration" and can create and edit partners.
Digital voucher administrator
The "Digital Voucher administrator" role has all rights for the functional area "Digital Vouchers". Here it has all rights, regardless of the project assignments, to upload voucher scans, read, verify and delete voucher scans already verified. In addition, it also has automatic access to all projects.
Digital voucher auditor
This role includes all rights of the "Digital Voucher editor". In addition, it also has the right to verify voucher scans in all assigned projects.
Digital voucher editor
This role includes all rights of the "Project staff" role. In addition, it also has the right to read, upload and delete voucher scans in all assigned projects.
Project finance administrator
The role of the project finance administrator covers all relevant permissions to make changes in the project administration. This includes all rights that the project administrator also has. In addition, this role has the rights to make all changes in the areas of "Project funding" and "Bank Details". The access of the project finance administrator to the projects assigned to him is limited via the assignment of projects.
The role of project administrator comprises all relevant rights to make changes in the project administration. This includes the possibility to edit, release and publish the project master data, budgets and project internal structures. Excluded is the right to edit the area of "Project funding". This is reserved for the project finance administrator. The access of the project administrator to the projects assigned to him is limited via the assignment of projects.
WINPACCS online read only
The role "WINPACCS online read only" can view and read all functional areas in WINPACCS online. No changes can be made at any point.
The role of the project staff has read only access to the projects assigned to him in WINPACCS online.
WINPACCS accounting user
The role of the WINPACCS accounting user has unlimited access to all program functions of WINPACCS accounting.
WINPACCS accounting read only
The role "WINPACCS accounting read only" can access and read all data in WINPACCS accounting, but no data can be entered, changed or deleted.
WINPACCS cost control user
The role of the WINPACCS cost control user has unlimited access to all program functions of WINPACCS cost control.
WINPACCS cost control user limited
The role "WINPACCS cost control user limited" can access and read all data in WINPACCS cost control. In addition, you can also import end-of-period accounts, journal backups, vouchers of company and partner accounting, head office committed costs, project and organisation master data, cost category groups, project internal structures and reporting currency schemas. Apart from that, you can also create and restore project and full backups.
WINPACCS cost control read only
The role "WINPACCS cost control read only" can access and read all data in WINPACCS cost control, but no data can be entered, changed or deleted.
WINPACCS cashbook user
The role of the WINPACCS cashbook user has unlimited access to all program functions of WINPACCS cashbook.
WINPACCS cashbook read only
The role "WINPACCS cashbook read only" can access and read all data in WINPACCS cashbook, but no data can be entered, changed or deleted.
