Multi-client Capability

Like all WINPACCS^® modules, WINPACCS^® cost control features multi-client capability; i.e. the cost monitoring and budgeting of various clients can be managed within one application.

Master data and settings can be separately configured for each client and uniformly applied to all WINPACCS^® cost control installations of an organisation.

Multi-user Capability

WINPACCS^® cost control can be easily installed within a network. Various persons may use the application simultaneously, entering booking data.

Displaying the Project Structure

An important prerequisite of efficient cost monitoring is the flexibility of software to display the structure of the project in a simple and clear manner. Only then can the requirements of a sensible cost control can be met and necessary reports efficiently generated.

WINPACCS^® cost control was specially designed to meet the diverse requirements and makes it easy to flexibly adjust the cost accounting to the needs of the own organisation, possible co-financiers and the partner.

Management of Various Journals per Project

Journals link the cost accounting with the financial accounting. The journals provide the booking data for the cost monitoring on a daily or monthly basis (together with the end of period data).

Besides the WINPACCS^® journals, journals of the partner or from the head office can also be imported using an open XML interface.

Multi Currency Feature and Period Related Reference Currency

WINPACCS^® cost control always uses two currencies: The company currency and the voucher currency.

In addition, WINPACCS^® cost control offers the possibility to work with a reporting currency. This allows users e.g. to generate project invoicings matching the requirements of the EU or other international donors.

The conversion can be made with flexible, fixed and period related factors, where the period-related conversion can relate to the accounting period, reporting period or reporting date. When necessary, additional reporting currency schemas can be defined.

Connecting Projects to Programmes

Various project codes in WINPACCS^® cost control may be assigned to one multi-project. This allows pulling together various projects to a programme for cost accounting purposes.

Different Charts of Accounts

WINPACCS^® cost control allows the user to work with different charts of accounts. Every project can be assigned its own chart of account.
This allows the user e.g. to keep the project books according to the requirements of a specific co-financiers.

Integration into the WINPACCS Financial System

WINPACCS^® cost control is fully integrated into the WINPACCS^® Financial System, linking it to the further modules WINPACCS^® accounting, WINPACCS^® cashbook and WINPACCS^® manager.

External Interfaces

Multiple interfaces permit to import data from external systems. This is useful e.g. when integrating head office bookings in WINPACS cost control or if the budgets of projects are centrally established and then submitted electronically to the projects. The offered importing possibilities include:

• Import of booking data from external systems
• Import of project internal structures
• Import of period related exchange rate factors
• Import of yearly budgets

Integrated User Administration

WINPACCS^® cost control features a modern user administration. Single projects may be assigned to specific users and, if required, may also include administrator rights.

A password protected login procedure guarantees that only authorized users have access to the project data.

Cost Accounting by Cost Category

Cost-category accounting is for most projects the most important area of cost accounting. WINPACS cost control provides all account data by cost and income accounts for a variety of analyses.

Comprehensive and user defined analyses grouped by cost categoris and sub-cost categories are possible.

Cost Accounting by Cost Category Groups

WINPACCS^® cost control allows aggregating entered bookings according to cost-category groups.

This may serve to:

• carry out planned - actual comparisons following budget structures
• aggregate costs according to co-financiers
• provide summaries of costs for partner organisations

Cost Accounting by Project Internal Structures

Projects in the field of development cooperation and humanitarian aid often need figures according to individual project internal structures. These may be according to:

• different regional aspects
• areas of interventions (agriculture, infrastructure, education, etc.)
• organisational structures (e.g. different local partners),

Cost accounting along project internal structures is a powerful tool for a flexible budgeting and cost monitoring following individual and self defined criteria.

The project internal structures can be freely defined and broken down into up to four sub categories.

Up-to-date Balance Information

For some reports it is helpful to also include the current values of the different accounts, next to the project cost figures.

Some organisations e.g. request at the end of the year in addition to the project cost figures also an overview of the supplied funds and the remaining funds on cash and bank accounts from their projects.

WINPACCS^® cost control can integrate these figures and use them for analysis.

Clear Display of Vouchers

All incorporated booking data are presented in a concise table. The user may:

• Show and hide columns simply by a drag-and-drop function
• Arrange the columns individually
• Define the column width
• Sort columns by the click of the mouse
• Group by any column using a drag-and-drop function

Diverse Filtering

To pinpoint certain information WINPACCS^® cost control features extensive filter functions.

It is possible to select all data of a certain period, a cost category or a journal. For all available fields a filter may be selected. The filter function is easy to use and applied filters can be saved for repetitive use.

Flexible Budgeting

In WINPACCS^® cost control any number of budgets may be defined and used for reporting purposes. A budget is easily created using the budget bar.

MIS Window

A MIS window summarises all key financial data of a project.

Comprehensive Reports

WINPACCS^® cost control offers the user a broad range of predefined standard reports. By applying selection and filter criteria they may be customized to individual needs.

Multi-Lingual Settings

The user can easily change the language settings to German, English, French, Spanish or Portuguese via the menu item “Extras”.

Intuitive to use

WINPACCS^® accounting is highly user friendly. A well structured menu and a concise symbol bar for the main functions makes it intuitive and easy to use. Tool-tips give additional orientation if needed.

Context-sensitive Menus

Wherever sensible, a right mouse click produces a context-sensitive menu. It displays those menu items directly available for the selected function.

Organisation-specific Help

Each organisation may enter organisation-specific help information. These own texts can be passed on to all WINPACCS^® cost control applications.

Comprehensive Online Help

A comprehensive online-help can be called either through the menu or by using the "F1" key. The online-help is available in German, English, French and Spanish.

Conceptional User Manual

The application comes with a comprehensive, illustrated and easy to understand user manual. It familiarises the user in a quick, yet complete way with the possibilities of the application. The manual is available in German, English, French and Spanish.
